Customizing Document Categories in Settings

Why Customize Categories?
Customizing categories improves AI accuracy in sorting documents and aligns the system with your internal workflows. Detailed descriptions and instructions help Sky AI sort more efficiently.
Navigating to Category Settings
To access the category settings, navigate to User Avatar -> Settings -> Categories.
Understanding the Default Category Set
Sky AI provides a default set of categories to get you started. You can use these as-is, edit them, or create your own.
Creating a New Category
- Click the + Add Category button.
- Define the category:
- Name: A clear and concise name for the category (e.g., "Contracts", "Invoices").
- Definition: A detailed description of what documents should be classified under this category.
- Color: Choose a color for easy visual identification.
- Advanced Configuration:
- Naming Conventions: Specify how the AI should name extracted sections within this category (e.g., "Type of Doc - Name - Date").
- Naming Examples: Provide concrete examples of how documents in this category should be named.
- Expected Content: Describe the type of content expected in documents belonging to this category.
- Key Topics: List the key topics or keywords associated with this category.
- Recognition Tips: Provide tips to help the AI recognize documents belonging to this category.
- Expected Length: Indicate the expected length of documents in this category.
Editing an Existing Category
- Click on a category card to view its details.
- Modify any of the configuration fields (Name, Definition, Color, Advanced Configuration).
Bulk Updating Categories
The bulk update feature allows you to download, modify, and re-upload your categories using a CSV file.
- Click the Bulk Update button.
- Download: Download the current category list as a CSV file.
- CSV Structure: The CSV file contains columns for each category attribute (Name, Definition, Color, etc.).
- Modify: Make changes to the categories in your spreadsheet program.
- Upload: Upload the modified CSV file.
Warning: Uploading a CSV file will replace ALL existing categories.
Best Practices for Effective Category Management
- Provide clear and detailed definitions for each category.
- Use specific naming conventions and examples to guide the AI.
- Regularly review and update your categories to ensure accuracy.
